Getting startedSigning in, the home screen, getting around

Sign in

  1. Open the portal and enter your department email and password, then tap Sign In.
  2. The first time you sign in, you'll be asked to set your own password before you can continue.
  3. Forgot your password? Tap Forgot your password? on the sign-in screen and enter your email. Your supervisor (or, if you don't have one on file, the department admin) gets notified through the portal messenger and can reset it for you.

Find your way around

  1. The home screen's sidebar is grouped into Operations and Reports & Admin. You'll only see tiles you have access to.
  2. Tap on any screen to return to the portal home.
  3. Tap ? in any top bar to open this Help page.
  4. On the home screen, opens your inbox; a badge shows unread messages.
  5. Your name and photo at the bottom of the sidebar opens My Account, where you can change your password anytime.
Don't see a tool you need? Your access is set per person — ask your supervisor or the portal admin to turn it on.
Install it like an app: in your browser menu choose Add to Home Screen. Each tool (Hydrants, Map, Inventory, etc.) installs as its own icon. The portal updates itself; if a screen looks stale, close and reopen it.

Your Dashboard

The Dashboard shows what's due or overdue right where you'd expect it, based on who you are:

  • Firefighters see hydrants in their own station and shift.
  • Lieutenants and Captains see everyone under them — their whole chain of command, not just their own station.
  • HQ and chief-level staff see the whole department.
  • Part-time members without a fixed station pick one from a dropdown right on the Dashboard.

An Added Back section on the same screen shows anything (painting, vegetation control) that was specifically flagged to redo this year, even if it wasn't naturally due.

Find a hydrant

  1. Open Hydrants and search by ID or address.
  2. Tap any hydrant to open its Detail screen — status, location, full service history, and its photo gallery.

Log work on a hydrant

  1. Open the hydrant's Detail screen and add a maintenance entry — flush, paint, vegetation control, or flow test.
  2. Set the date and add notes (for a flow test, enter the PSI readings), then save.
  3. You can add photos to the hydrant right from this same screen — they go straight into that hydrant's own photo gallery.
  4. If the hydrant has no coordinates yet, add them here so it appears correctly on the Map.

Route a flushing run

  1. In the hydrant list, tick the checkbox on each hydrant you're taking today.
  2. Tap Route in Maps. The stops are ordered for the shortest drive and Google Maps opens from your current location.
A long selection is split into legs (Google Maps limits stops per link). Open them in order — each leg picks up where the last ended.
Plan (re-balancing hydrants across shifts) is a restricted, admin-level screen — most members won't see it, and that's expected.
MapLive hydrant & business tracking while driving

Map is a standalone, heading-up navigation view — separate from the Hydrants module's own static map. Five toggles across the top control what it shows:

  • Hydrants — every hydrant as a dot on the map.
  • Businesses — every business with a location on file.
  • Parcels — property lines, with unincorporated Houston County highlighted differently from Warner Robins, Centerville, and Perry.
  • Last Hydrant Service — drive within 200ft of a hydrant and its record (including paint and vegetation-control status, with the same Add Back buttons as the main app) pops up automatically. Restricted to those with route/proximity permission.
  • Last Inspection — drive onto a business's property and its last inspection shows automatically. Also restricted to those with the right permission.

Tap the compass icon to switch between North Up (map stays fixed) and Heading Up (map rotates with your direction of travel).

Daily CheckRun and record apparatus checks
  1. Open Daily Check and choose the apparatus you're checking.
  2. Work down the checklist, marking each item and noting anything that isn't right.
  3. Tap Save Draft to finish later, or Submit Check when you're done.
  4. Anything you flag as a problem can be turned into a repair request for follow-up.
Captains and above see a department-wide Station Status view instead of the truck-check picker.
InventoryYour gear, apparatus, stations

The tabs you see depend on your rank. Everyone gets: My Gear Inventory Apparatus Stations. Lieutenant and above also get: Personnel Expiring.

  1. My Gear — the screen you land on. Shows exactly what's issued to you, plus the apparatus at your own station.
  2. Inventory — the full searchable list of everything, across every category and station.
  3. Apparatus — every truck, browsable on its own (no longer mixed in with station storage).
  4. Stations — storage locations (Station 1–8, HQ, EMA warehouse) browsable on their own, separate from Apparatus.
  5. Personnel (officers) — gear assigned to each person, searchable by name or shift.
  6. Expiring (officers) — items with upcoming expiration or inspection dates so nothing lapses.
Adding or editing equipment needs the equipment-edit permission. Some members only see gear assigned to them; others see everything, depending on what's been set for your account.
PreventionBusinesses, inspections, preplans, hazmat

Prevention is open to everyone to view; editing needs the inspections-edit permission.

Businesses & locations

  1. Search the county business list, or add a new one with an address and occupancy type(s) — a business can have more than one occupancy type if it's mixed-use.
  2. When several businesses share one building or strip mall, they all share the same location — the building's own construction type, square footage, sprinklers, Knox box, and other physical facts live on the location, not repeated on every individual business.

Inspections

  1. Open a business and start an inspection — routine, follow-up, new occupancy, or a plan review.
  2. Record findings and violations as you go, then complete and sign it.

Preplans

  1. From a business, open its Preplan to add building details, photos, and a HazMat section — actual chemical name, UN number, and NFPA hazard ratings, not just a note. If there's nothing hazardous on site, check the No hazardous materials box instead of leaving it blank.
  2. Fire Flow calculates automatically once construction type and square footage are on file, using the nearest hydrants.
  3. Print a Tactical Sheet for a printed pre-incident plan.
Repair RequestsReport & track problems
  1. Tap New Repair Request, describe the problem and where it is, then Submit Request.
  2. Use the All / Unread tabs to filter the list; open a request to see its status and history.
  3. If you handle repairs, update progress with Save Status as work moves along.
RosterWho's working, call-ins, cover
  1. See who's working by shift and station.
  2. Use Log Call-In to record a call-in against an open position.
  3. Use + Add someone as Cover to fill a slot.
Supply RequestsOrder what a station needs
  1. Submit a supply request with what's needed and where it's going.
  2. Track its status until it's fulfilled.
TimekeepingTimesheet, overtime

Timesheet

  1. Review your hours for the pay period.
  2. Save Draft as you go, then Submit for Approval once the period is complete.

Overtime

View the OT schedule and sign up where it's offered.

Supervisors: submitted timesheets show up in your queue with an Approve action.
TrainingSheets, hours, ISO tracking, First Due

Logging a training session starts with picking its Sheet Type, which changes what the rest of the form asks for:

  • Standard — the general-purpose sheet: an NFPA standard, its objectives, attendance and signatures.
  • Drivers Training — apparatus, mileage, hours-meter readings, and the actual NFPA 1010 roadway-maneuvers and driving-skills checklists. Driver and instructor each sign separately.
  • Facility Training — for training-facility sessions; requires a topics-covered summary and how it was taught, and must be logged at 3 hours or more.

First Due

A practice game under Training — pick your station(s) and a difficulty, then match real addresses to their location on the map. Good for learning your first-due area.

Every session counts toward your ISO training-hour category automatically based on what kind of session it is.
My CareerCertifications & your requests

Sections: Certifications Training Requests My Firefighters.

  1. Certifications — track your certs and their individual components to see what's complete and what's outstanding.
  2. Training Requests — submit your own; if you're a supervisor, review your team's requests here. Routes up your actual supervisor chain, not just to any officer.
  3. My Firefighters — your direct reports, for supervisors.
Reports & Admin
ReportsBuild your own report, any of four data sources

A custom report builder covering Hydrants, Inventory, Training, and Inspections.

  1. Pick a data source at the top.
  2. Check off the columns you want to see.
  3. Add filters — station, date range, category, status, whatever applies to that source.
  4. Optionally set a Group By and Sort, then tap Run Report.
  5. Export the result as a CSV or Print / PDF, or tap Save Report… to keep the exact same setup for next time — privately or shared with the whole department.
A report only ever shows you what you could already see in that module — Reports doesn't grant any new access, it's just a faster way to view what's already yours to see.
Hydrant Shift ProgressLive flushing/testing progress by shift

A live count of flush and flow-test completion by shift and district for the current year — the same numbers the Hydrants dashboard widget uses, so they'll never disagree.

SOP / SOGPolicies & guidelines
  1. Open SOP/SOG to read the department's standard operating procedures and guidelines in the portal.
  2. Members with edit rights can use + Add Entry to add a document.
OPS CommandSpecial Teams — HazMat, GSAR, and more

View the rosters for special teams such as HazMat and Ground Search & Rescue, see who is on each team, and who leads it.

MessagesPortal inbox
  1. The inbox on the home header holds portal notices and messages sent to you.
  2. A badge shows your unread count; open a message to read it.
  3. A password-reset request you submit from the sign-in screen also arrives here, addressed to whoever needs to handle it.
Permissions & accessWhy you see what you see

What you can see and do is controlled per person, and sometimes per rank — a Lieutenant or Captain may see more of a screen than a Firefighter, for example. If a tile, tab, or button is missing, that's a permissions setting rather than a bug — contact your supervisor or the portal admin to have it adjusted.

Trouble signing in or something looks offQuick fixes
  1. Refresh the screen first — most display glitches clear on reload.
  2. Locked out or forgot your password? Use Forgot your password? on the sign-in screen — it notifies your supervisor (or the department admin, if you don't have one on file) to reset it for you.
  3. Still stuck? Contact the admin with what you were doing and what you saw.
